Job Title:             Payroll Specialist

Pay Grade:         Administrative and Professional Scale Grade A07 (Part-Time)

Work Calendar: All 12 Month Staff

FLSA Status:       Non-Exempt

 

GENERAL PURPOSE

Under the general supervision of the Assistant Director of Payroll, this position performs technical and clerical work involving the preparation and maintenance of payroll records.

 

MAIN JOB TASKS AND RESPONSIBILITIES

 

Process Payroll Changes

  • Verify time and leave reports submitted from each school location and making corrections as needed.
  • Process monthly deduction and pay code changes in ERP system.
  • Process required personnel actions.
  • Verify and balance payroll entries prior to processing monthly payroll.
  • Prepare payroll reports as necessary.
  • Assist with processing and reprints of W2's.
  • Assist with preparation and reconciliation of year end reports.

 

Reconcile and maintain records

  • Reconcile pre- and post-tax deductions.
  • Maintain appropriate records and files.

EDUCATION AND EXPERIENCE

  • High school diploma, G.E.D., or any combination of education and experience equivalent to graduation from high school, supplemented by courses in bookkeeping, accounting or a related position.

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge
    • Payroll system codes and procedures
    • Stafford County School Board financial management policies and procedures.
    • Standard accounting principles, terminology, methods, procedures, and equipment.
    • Standard office procedures, practices, and equipment.
  • Skills
    • Operate computer, and other standard office equipment necessary to maintaining records.
    • Follow detailed procedures and perform mathematical computations with accuracy.
    • Ability to work with intermediate abilities in Excel spreadsheets and Google docs and sheets.

    • Organize and perform work independently
    • Meet deadlines for all work even when working on multiple projects

WORKING CONDITIONS and PHYSICAL REQUIREMENTS

  • Work environment is inside, with low noise, temperatures that are controlled, and no exposure to chemicals or other negative air quality elements.
  • The work is light work, requiring exertion of up to 20 pounds of force to move or lift objects.
